...anyone interested in a late-spring/early-summer gathering somewhere with beer and food? I'm concerned at how the presence of alcohol might effect the ability of children to attend - thus effecting the possibility of adults attending. On top of that, the, uh, theme, shall we say, may lend to a few... mature stamps... I say "may" lead - doesn't necessarily mean it "will" lead. Any quick initial thoughts, anyone?

If its a picnic where beer will be served, I dont have a problem with it....as long as there are other drinks available for non drinkers. If its meant to be adult only I think if you just label it as such there shouldnt be a problem. As for the stamps, if people provide the appropriate warnings on the stamps that they may be for mature audiences I think people are ok with that....I would be.... Personally since we have not been able to make a gathering yet :-( I am looking for a family friendly one for our first....I keep telling my kids how much fun they will have at one, they get to cootie people and all that....

I am super bummed that I cant make tommorows at Sprite and Highlanders...since indirectly it was my idea.... (big sad face here)....i dont know if i can wait till summer.....

You can sign up for an event at any time! In fact, you don't even need to sign up for an event to show up- just show up!
A few letterboxers of note do this quite often- you won't even know they're attending until you run into them!
So, either sign yourself up for DSS and if it turns out you can't make it, remove your name....or, wait until you know you can make it, then sign up as soon as you can!

The only disadvantage to signing up late (that I can see) is that the closer it gets to an event, the less likely all the attendants are to have seen you get signed up, and therefore get your Personal Traveler clues ready.
Sure, some people make sure to check the event page for late signups up to the night before the event...but not everyone does!

It's not just about personal traveler clues. Speaking as the founder/hostess of DSS, I would prefer people sign up if they have even an INKLING that they might be able to make it, rather than sign up at the last minute. I like to have clue packets already made up and I would much rather have made a few extras than not have enough to go around.

We also have fabulous door prizes just for attending and I would hate to have some people miss out because they got there after the "last minute" or "surprise" event attendees came and got theirs. I would hope that everyone who crashes or comes at the last minute has enough social graces to let other "long signed up" attendees get their things first...and if we have any leftovers I would be happy to accomodate them.

Your only other option is to at least let the PLANNER know you're coming, and leave your attendence a secret for the other attendees. I have done this with great success.

It works, too! I was shocked--SHOCKED!--when I saw Lock Wench at the Ithaca gathering earlier this year. I had no idea she was planning to go. ;o)

Eek!! Did I forget to sign up? Sorry!!!That's one gather I usually sign up for a year in advance. Usually right after I've attended. :)

Of course, then there is Ryan..coach surfing his way across the country with nary a peep to the attendees until the night before. Isn't this how we met? *wink*'

Luckily, Turtle Mc Q is a low maintance kind of planner. No clue packets, rafflesgames, cooties or other such nonsense for T McQ. *wink* I am beginning to see the wisdom of this but I can't disappoint my snow boxers as they are a different breed altogether and need added incentive to travel through lake effect snow and 15 below zero windchills!*

Oh, I don't know. I'm just messin' with you. =) I rarely take a good look at the sign up list before I attend an event, so pretty much everyone who does show up is a surprise to me. =)

Yeah. I like how you show up at the last minute too. It's cool to watch the reactions of some newbies when they realize the Green One is in their midst. :)

But seriously..if I am not one of the first 10 people to sign up for Ithaca, will someone shoot me a reminder note???? All set for 2007.....

Don't forget the big disadvantage to the planners that want to make sure they have enough space for everyone...the Highlander and I would be in BIG trouble if extra folks just appeared out of nowhere tomorrow! :-O

Whoa, nonsense? Hey, we RESEMBLE that nonsense around WNY! LOL

Actually, we realized that so few people end up in the middle of Rochester and Buffalo for anything that making clues as easy as possible to find was our best bet for customer satisfaction. The raffle just helps us recoop the cost of the pavillion (and that cup of coffee we wanted to buy SOOO bad for this holiday....woo hoo!).

Yeah, I hear ya. It's expensive doing a winter event too because you can't just rent an outdoor pavilion. People get cranky and insist upon having such niceties as heat and a warm dry place to put their coats, mittens, hats, scarves, etc...

The first year at Sun I rented a $75 room and we were at capacity with 55 people. All expenses, including the clue booklets and the great raffle and door prizes were covered by raffle ticket sales and donations. This year we had 55 people signed up by AUGUST! So I have rented a much bigger place, which has capacity for 140 seated/200 total. It's also a lodge where dogs ( well behaved) are allowed to be inside. Of course, this costs even more money ( $195) which I have paid in full. Now I am just praying we sell enough raffle tickets or get enough donations to cover this added cost. And to think I used to go the Virgin Islands in mid-February. :)

I feel your pain! That's why we either do them in our backyard or in our house when we can...just can't afford the other stuff. I HAVE noticed, though, that some of these little towns have little parks with pavillions (which we've used) and fire halls...might need to look into one of those one day.

Yeah, I have checked every firehallm beer gardenm rec room, etc that is near and far in the CNY area, and to be honest, the Onondaga County Parks have the most reasonable prices out there. $195 sounds like a lot, and it is, but that is for use of the ENTIRE lodge all to ourselves, a MASSIVE fireplace with all the firewood we want, plenty of FREE parking, use of the surrounding trails with nary a permit requirement in sight ( unlike the NY STATE Park system), and exclusive use of the entire kitchen and dining services and a clean up crew and free garbage disposal service. None of those private places could come close to beating that price and services. *sigh* I guess if you are going to party on this scale..you need to put up. So make sure y'all buy a raffle ticket or two!
