Wow, that's awesome that you are all coming! We won't have a family plan, but I'm working on discounts for the kids for the meals and registration. The caterer said she can help us out, and I'm waiting to hear back on the price.

I think the prices are reasonable and agree that you have to keep pricing as simple as possible. You can't make everything work for everyone, it's just not possible.

Or if we can’t rent bedding can I have it shipped there? Probably cheaper than paying extra baggage fee on plane

Wow, an All-inclusive pkg deal!! How nice is that. $100 for 7 meals is a great deal. Even if I didn't attend all 7 meals, that's still a great deal. I spend around $40 when I being a potluck item, so this price is very reasonable.

Before you post the bunk bed deals, please add more details about bathroom facilities, size beds, privacy, etc.

Thanks for all your hard work to bring us a fantastic event!!

That's the main reason we are in a hotel. I'm fine with the dorm/bunkbed thing but he's not comfortable with it.

That was kind of done - but the hotel where the block of rooms were setup at is sold out for the event dates now.

That was kind of done - but the hotel where the block of rooms were setup at is sold out for the event dates now.

I just called the hotel - only 7 rooms out of our block of 50 are taken. You won't see the block available online.

Just an FYI, I had made reservations at this hotel in November, randomly picking it out of the hotels that were in the vicinity of the event. I am still going back and forth in my mind about whether I am going to camp or stay in the hotel because of the expense, so last night, I decided to make a comparison list. I had received an email confirmation from the Best Western when I made my reservation and when I clicked on the link to review my online reservation, I was surprised to see that the online amount was $11 higher than my original confirmation. Of course, I called Best Western right away and was told that the online rate is correct, my confirmation simply shows that my room was reserved, it doesn't commit to a final fee. She told me that the fees/taxes on hotel rooms in Texas can vary continually and not to be surprised if they went up again. She said it is a unique situation in Texas. I am still not sure that I believe this but I do know that my email confirmation and my online reservation are not the same amount and I was told there was nothing they could do about it.

This along with the fact that I have now been notified three times that the flight that I am watching has increased is making me very uncomfortable about what the final cost of this event will be.

I think the good news is that the fees that are being charged for the event itself should not go up so there is some stability to my financial planning.

Well that's really strange, I've never had a hotel price go up after I made reservations. They told me that people can transfer existing reservations to our block of rooms and get out group price. It's not much of a discount, but at least it's something.

My rates are actually a little cheaper due to other discounts I get with this chain but if the rates keep going up, I may have to switch to your group if I decide to stay in the hotel instead of camp.

OK, I wasn't happy with the response that I received from the Best Western 800 number so I called the hotel directly this morning. I was told that the lower rate which is on my confirmation is correct and is what shows in his system. I told him what their 800 operator told me and he was rather incredulous. So....just ignore my previous post!

Edited to add...I just found out that I am not the only one who has seen two different rates, one on their emailed confirmation and one on the Best Western website. I will be sure to take my emailed confirmation along for check to ensure that I get the correct rate.

Quick updates.... Pricing for kids
Age 6-12: $20
Under 6: Free

The free admission for children under 6 does NOT include a registration goodie bag - no clue book, patch etc. If you want one for your child, please purchase the $20 registration.

The caterer has promised a discount for children as well. Once we get the price, we will open registration.

Before you post the bunk bed deals, please add more details about bathroom facilities, size beds, privacy, etc.

I don't have bed sizes, but I found some pictures online which should help. I've put them on our website, so you will be able to see them before you register.

The bunk beds are closely spaced so there isn't any real privacy between them. 16 - 24 beds in a room in two rows. There are no sitting areas in the dorm - just beds. So - it's cozy and not really intended for hanging out.

There are some shelves for storage between the beds and restrooms. The restrooms are only accessible from inside the dorm. I think there are several stalls and 3 showers for each dorm room (don't hold me to that - I looked at them about a year ago!). The buildings are well maintained, pretty, and clean.

If you can make a plan and book the plane reservation doesn't that lock in a price?

I'm doing airbnb.....booked already. Probably doing road trip in conjunction with another trip. Different hosts have different cancellation policies. Most are pretty lenient and you can look at reviews of the location and host. I found a perfect location, about 30 minutes from the park. Tons of choices on places. I did airbnb in Canada and loved it.

I look at it this way....it's once every five years.

It does but the event is too far out to book the flights that are available to me. I think what I did (it has been a while) was to put a watch on the closest flight that WAS bookable. It probably won't matter for me anyway since I think I will be driving and then camping in Texas.

The pricing is very reasonable. Live and Breathe was just a little less and that was 5 years ago.

Oh dear. lol Ok.....New York to Brunswick, GA.....pick up oldest friend....we've been friends since 1976.......drive him from Georgia back to where he used to live in Vegas......he doesn't have a car or drive and is terrified of flying. He moved there to take care of his sister......she has to go into assisted living now....so he's going back to Vegas.

I figured I'd just hit Texas and the event on the way back east from Vegas, with letterboxing along all these highways and byways of course.

He is one of the best people I know, gave up his life in Vegas to take care of his sister in Georgia, got treated like crap by her kids even though they asked him to come. He's done for others all his life and no one ever does for him, so I am helping him. He doesn't have much, you know?

I find I like hitting the road, tiring though it can be. I just arrived in Quebec City for a weekend tour group thing. Drove from my house near Peekskill, did some boxing in Saratoga and Plattsburgh, where I spent the night and then continued north.

Finding the hotel in old Quebec City was a ::::*itch:::::, even after all my GPSing and mapping but I made it.

Now I am sitting here chilling out until we all meet and go to dinner tonight. First I have to hit an ATM and get some Canadian $$$.

When I finally get home I will totally veg out for days.

This is a once in a 5 year thing and a few extra $$ spread among all of us is not that much in the big picture. The prices you quote are very reasonable and it seems like there are several options for different budgets/ interest levels.

yup, originally I wanted to be in dorms, cause we loved that in St. Louis and in Massachusetts, but Ryan and I like to be together, so with single sex dorms, we are opting for the Hotel Option instead....not necessarily hanky panky ...but there is a cuddle factor and pillow talk :-)
